This document is intended to be the groundwork for positions available at [:UTOSC2008:UTOSC 2008]. The descriptions below will improve with time, but should be descriptive enough to point anybody who wishes to help us run a smooth conference. We'll be in need of many volunteers this year as we expect it to grow almost 100% from last year.
Benefits
While there is a fair amount of work required for those who will help with the conference, there are quite a few benefits as well.
- Free Admission (a savings of $70)
- More SWAG. As a general rule, we hold back some so volunteers and staff get their fair share
- Meet and greet. One of the best benefits is to get to spend time with the speakers, especially if you are interested in what they have to say
- Volunteer dinner after the show. You'll be one of about 20 people who will be treated to a dinner a few weeks after UTOSC 2008
Room Manager
The Room Manager is in charge of a particular room for his/her shift. This position is probably one of the more important positions
Duties
- Room setup
- Prizes, Presentation Material, etc.
- Announcing each presentation and the room's sponsors
- Introduce the speaker from provided bio
- Thank sponsors and speaker at the end
- Statistics for the room approximately 10 minutes into the presentation
- Keeping the slide shows up and running between presentations
- Asking attendees to fill out a survey about the presentation
- Provide a undisturbed environment for presenter
- Hold up a card when there is 10 minutes left for the presenter
- Also at 5 minutes and 1 minute
Registration / Check-in
Help folks get their badges, check them in, etc.
Duties
- Provide badges to attendees
- Greet folks with a smiling face
- Take money (with the oversight of a UTOS core-team member)
- Put up announcements behind the check-in desk using cool technologies. (aka whiteboard)
Setup / Teardown
Labor, you will need a strong back, legs and arms.
Duties
- Arrive Wednesday, Aug 27 @ 12pm
- Provide help lifting, setting up booths, arranging chairs, tables, etc.
- Stay late on Saturday, August 28 (probably 7-10pm)
- Tear down equipment, rearranging rooms, etc.
Ambassador
The Ambassador will provide guests with directions to particular rooms and events.
Duties
- Provide maps and directions to any attendees
- Verify badges are being worn in the conference halls/rooms
- Escort lost individuals as needed
Registration
The registration desk will be in need of several individuals to help get badges, check-in attendees and solve registration related issues
Duties
- Hand out UTOS Program
- Check-in Attendees
- Take Payments for new attendees
- Print Badges / Give w/lanyard
- Provide Bags and T-Shirts
Blogger
During the conference, we'd like to share the updates of what's going on in each of the rooms. We'd like to get a few people to blog about their experiences, keep people informed. This information will be posted on the official UTOSC 2008 conference blog and aggregated in many places as well.
Duties
- Micro-blog (twitter, pownce, facebook, etc)
- At the beginning and end of each presentation attended, post about the presentation
- Something short and sweet
- At the end of each day, write a good summary of the conference so far
- Summaries of each presentation attended, and overall feel of the conference
- Highlight a keynote and what was enjoyable
